Role Overview
We are seeking a highly organized and detail-oriented Recruiting Coordinator to manage the end-to-end candidate journey from offer acceptance through onboarding and training. This role is critical in ensuring a seamless hiring experience by proactively guiding candidates through all pre-employment requirements while maintaining strong coordination with internal stakeholders.
Key Responsibilities
Candidate Lifecycle Management (Offer to Training)
Manage and track candidate progress from offer acceptance to training readiness
Ensure timely completion of all pre-employment requirements to enable smooth onboarding
Proactively follow up with candidates to address delays or pending actions
Background Check & Drug Screening
Escalate cases requiring adjudication to leadership for review and decision-making
Transition candidates to onboarding upon successful clearance
Onboarding Support
Assist new hires with completing onboarding documentation, including Section 1 of the I-9 and policy acknowledgments
Act as a primary point of contact for onboarding-related queries, directing candidates to appropriate teams (Benefits, Payroll, etc.)
Coordinate with Recruiting, Operations, and Facilities teams for fingerprinting and training logistics
Communicate company policies, role expectations, and onboarding requirements prior to the start date
Maintain consistent engagement with candidates using multiple communication channels (phone, email, and text)
Provide timely updates on next steps and onboarding status
Systems, Reporting & Coordination
Manage candidate activities within the ATS system (SAP SuccessFactors)
Collaborate closely with Recruiting, Operations, and Training teams to ensure candidates are Day 1 ready
Required Skills & Competencies
Hands-on experience with Applicant Tracking Systems (ATS), preferably SAP SuccessFactors
Strong attention to detail and compliance mindset
Excellent communication and stakeholder management skills
Ability to manage multiple candidates and priorities in a fast-paced environment
Strong coordination, follow-through, and problem-solving abilities
Proficiency in MS Office Suite
Minimum Requirements
Minimum 1 year of experience in a compliance-related role
Proven experience in recruitment coordination or HR operations preferred
Eligibility Criteria
Graduate with minimum 5 years of overall experience
Experience in shared services or third-party HR support environment is preferred
Hands-on experience with HRMS platforms such as:
PeopleSoft
SAP SuccessFactors
