You get the reply.
The conversation starts.
Everything feels fine.
And then the client disappears.
Later, you find out they hired someone else.
This happens to a lot of freelancers.
And most do not understand why.
From what I have seen, it usually comes down to three things.
First: lazy communication.
Client asks:
“Have you worked on Gravity Forms?”
Freelancer replies:
“yes”
Another freelancer replies:
“Yes, I have worked extensively with Gravity Forms. I have built everything from simple contact forms to complex forms with conditional logic and custom integrations.”
Both might have the same skill.
Only one sounds serious.
Short, lazy replies kill trust.
Second: random pricing.
Client asks:
“How much will this cost?”
Freelancer replies with a number.
No breakdown.
No explanation.
To a non technical client, that number looks guessed.
Another freelancer replies with a simple breakdown.
Milestones.
Steps.
What happens when.
Now the client can visualize the work.
One feels risky.
The other feels safe.
Third: overwhelming the client with questions.
Client says:
“I want a website to sell flowers.”
Freelancer responds with questions only.

Client Communication for Freelance
In the last post, I talked about why clients reply to you, but still hire someone else.
One major reason is pricing.
Most freelancers do not price their work.
They guess.
Client asks:
“How much will this cost?”
Freelancer replies:
“$500”
No explanation.
No logic.
Just a number.
To the client, this feels random.
They start wondering:
“Why $500 and not $200?”
“Why $500 and not $1000?”
“Did this person calculate this or just make it up?”
This is where trust starts breaking.
Now compare that with structured pricing.
Example.
Client says their mobile menu stopped working after a theme update.
Instead of guessing, break the work into steps.
Check console errors and inspect theme files: 5 minutes
Find the JavaScript conflict: 10 minutes
Fix the script: 10 minutes
Clear cache and regenerate assets: 5 minutes
Test on mobile and desktop: 5 minutes
Total time: 35 minutes
Now convert time into money.
If your hourly rate is $30 per hour:
$30 / 60 minutes = $0.50 per minute
35 minutes x $0.50 = $17.50
Add a buffer in case something unexpected happens.
Final price: about $20
Now you can confidently tell the client:
“This will cost $20. I will identify the root cause, fix the conflict, clear cache, and test across devices to make sure the issue is fully resolved.”
Notice the difference.
You did not guess the price.
You calculated it.
And more importantly, you can explain it.
This is what builds trust.
Clients do not fear higher prices.
They fear random prices.
When they see structure, they relax.
Because now they understand what they are paying for.
And certainty makes clients comfortable saying yes.
This also protects you.
Because your price is based on logic, not emotion, pressure, or guessing.
If you are new and do not know how long something takes yet, do this.
Look at Fiverr.
See what others charge for similar work.
Use that range as a starting point.
Or research the problem and understand the steps involved.
Estimate based on your ability.
Both approaches give you a logical foundation.
But never throw random numbers.
Structured pricing makes you look like a professional.
Random pricing destroys it.
