WHAT ARE THE TYPES OF PROJECTS IN UTASKS?

UTasks supports 2 types of projects:

1️⃣ Personal Projects

Personal projects are tailored for managing your own tasks. Each user has a default personal project called Inbox. If you haven’t created a separate personal project, tasks will automatically be assigned to your Inbox by default.

Inline tasks are also saved to your Inbox! Inline tasks are quick tasks you can assign directly to any Telegram user without needing to create a shared group.

2️⃣ Group Projects

This is the standout feature of UTasks!

Group projects are based on a shared Telegram group.

Simply add @UTasksBot to any group, and you’ll unlock the ability to
collaborate seamlessly – you assign tasks to group members, and they can assign tasks to you!

WHERE ARE FILES ATTACHED TO TASKS STORED?

📄 For personal tasks, attached files are stored in your personal chat with the bot.

📄 For group project tasks, files are stored in the group chat.

⚠️Unlike many other task managers, we don’t store your files on our servers. Instead, we only save links to the files, ensuring maximum privacy and security for your data.

You can view and download attached files directly from the task history. Links in comments are easy to spot and clickable!

File attachment is available exclusively with the PRO-plan.

2024 RECAP

This is Denis, the founder of UTasks, here to reflect on an incredible year.

December flew by, and I didn’t have a chance to write—time was simply too tight. Now, with the new year underway, I’ve taken a moment to pause, exhale, and share some thoughts on 2024. This post isn’t short, so settle in and enjoy! 😇

We started the year on a high note, securing our first round of investments before even having an MVP.

By January 15, we had launched the first version of our product and welcomed 200 users. Fast forward to May 9, and that number had skyrocketed to 20,000! Your messages, support, and invaluable feedback have been instrumental to our growth. We can’t thank you enough for that🙏

In a world where duplicating a product is often just a matter of months, our secret weapon has always been your feedback. It’s what allows us to stay two steps ahead of the competition.

While most Telegram-based teams were busy building gimmicky tools, we focused on creating a product that truly makes a difference in people’s lives.

I genuinely believe that this commitment to meaningful solutions is what will ensure UTasks remains a profitable and enduring business for years to come.

We began 2024 with 200 users and closed the year with an incredible 56,000. So, what fueled this growth?

The virality of our product lies in its standout feature: the ability to manage tasks and projects directly within group chats.

Many of you already had Telegram groups where you actively discussed work and personal matters. However, tracking agreements, assigning tasks, and scheduling meetings required switching to other platforms.

We offered a solution tailored to your needs - right where you were already working.

By integrating our app into your chats, you became our ambassadors. As you assigned tasks to friends and colleagues, you showcased the product’s capabilities, inspiring them to become users as well. In turn, they added us to their own chats, creating a ripple effect.

What We Achieved in 2024:

1⃣ Built a product that genuinely solves user problems and keeps them engaged.
2⃣ Enhanced its functionality while preserving simplicity and ease of use.
3⃣ Refined our understanding of our target audience and learned how to attract them effectively.

Of course, no journey is without missteps. What could we have done better? Where did we fall short? And most importantly, what’s our plan for 2025?

Hello everyone!

Today in our #FAQ section, we have the question:

How can I make the bot send all notifications to a specific topic in a group instead of the general chat?

🥸 Ah, we’re not the biggest fans of groups with topics due to their quirks and the resulting challenges when working with UTasks. We’ve explained these difficulties in detail in this post.

BUT here’s the answer:

To switch the bot to the desired topic, simply use the /start command in that topic.

After this, the bot will send all project notifications to the selected topic. If you ever want to change it again, just repeat the process in the new topic.

PLANS FOR 2025

Hello, friends!
This is Denis, the founder of UTasks, checking in.

After wrapping up our yearly review, it’s time to outline our plans for the year ahead. So, what’s on the horizon for 2025?

1️⃣INTRODUCING CUSTOM FILTERS. We’re currently in the process of developing custom filters. At present, UTasks offers three built-in options (All/Author/Assignee), but we’re aiming to give you the freedom to create filters tailored to your specific needs.

For instance:
“All tasks assigned to Vasya with a deadline in the next week.”
“Overdue tasks containing the keyword ‘error’.”

This will be a game-changing tool with exceptional flexibility. To start, we’ll implement it within Projects, then expand it to Areas, and finally introduce the ability to design your own blocks on the main page, positioned alongside All/Today/Tomorrow.

2️⃣WEB APPLICATION DEVELOPMENT. Once custom filters are rolled out, we’ll kick things into high gear and begin developing a full-scale web application. This is a monumental undertaking, so we’ll take it step by step. Initially, we’ll focus on adapting the existing functionality for full-screen usage and gradually add more features over time.

3️⃣ENHANCED CALENDAR FEATURES. This area is a top priority with several improvements in the pipeline:
- Seamless integration with Apple and Google calendars.
- A calendar view for tasks directly within UTasks.
- The ability to share a scheduling link for booking meetings with you.
And much more!

4️⃣API INTEGRATION. We know many of you have been asking for an API, and your feedback hasn’t gone unnoticed. While we’re not fully ready yet, this feature is high on our agenda, and we’ll roll it out as soon as we’re prepared.

5️⃣COMPREHENSIVE REPORTING. Reporting is another essential feature for professional task management. Our initial focus will be on introducing basic reporting tools, with the option to export data for further analysis.

6️⃣DOCUMENTATION & TRAINING RESOURCES. Admittedly, this was a significant oversight last year. While we’ve developed a robust product, we fell short in providing clear instructions on how to get the most out of it. In 2025, we’ll address this by creating:
- Detailed documentation,
- Video tutorials,
- Training articles,
- And other user-friendly materials to help you hit the ground running.

These are just some of the key milestones on our roadmap for the year ahead. Rest assured, we’re committed to maintaining steady progress and delivering continuous innovation.

Hello everyone!

Today in the #FAQ section, we’re addressing a common question:

How can I obtain administrator rights in a group project?

➡️ The UTasks project is managed by the administrators of the Telegram group on which it is based.

📌 Administrators have the authority to create, edit, and delete tasks within the project, as well as modify any task fields.

📌 However, an administrator cannot mark a task as complete unless they are an active participant in it. To do so, they must first assign themselves as an Author or Assignee by updating the relevant fields.

All these modifications are logged in the task history for transparency.
