11 tips to show kindness online
Small gestures in online communication can make a big difference to relationships with our colleagues - helping to foster a more supportive and energetic environment that ultimately leads to better care.
This Mental Health Awareness Week, Anne O’Connor, leadership development consultant, shares eleven thoughtful tips for showing kindness online.
An increasing amount of our interactions occur online, so the manner in which we share messages really counts when it comes to fostering a supportive and productive culture.
It's not just about delivering information; it's about fostering connections, demonstrating kindness through our words, and being conscious of the recipient's situation.
Here are some tips to cultivate a kind writing style in your online communications:
Start with a personal touch: Begin emails and messages with a warm greeting and, if you're unfamiliar with the recipient, a brief introduction. Addressing individuals by name can foster a sense of familiarity and respect from the outset.
Clarify your intentions: State your goal clearly and concisely. Author and leadership expert, Stephen Covey famously said, "begin with the end in mind". Keep your message focused and relevant to ensure the recipient understands your purpose and can respond accordingly. Clarity is key—keep your paragraphs and sentences brief.
Keep it simple: We work in an organisation with a lot of specialist language, and a huge amount of complex projects. There’s a lot of variation in our knowledge, so avoid jargon, acronyms and complex language so everyone understands what you’re saying.
Set the right tone: Consider the tone of your message and tailor it to the purpose and audience. Stay positive and professional, avoiding negative or accusatory language. Watch out for words such as problem, trouble, failure etc. and adjectives that can sound over emotional such as extremely, seriously etc. Be mindful of cultural differences and steer clear of sarcasm or humor that may be misinterpreted.
Choose an active voice: The active voice is a style of writing where the subject completes the action of the sentence. ‘The cat sat on that mat’ is active, whereas ‘the mat was sat on by the cat’ is passive. The active voice is usually clearer. Use an active voice to convey agency and directness.
Close with courtesy: Wrap up your email with a respectful closing, such as "I look forward to hearing from you" or "Thank you."
Create a signature and make sure your contact information is up to date. Here’s a step-by-step guide on how to add a signature on outlook.
Turn on out of office emails (i.e., automatic replies) when you’re off including a contact name if there is an urgent matter. Here’s a step-by-step guide on how to write out of office emails.
Handle feedback with care: When offering feedback or addressing misunderstandings, approach the situation with empathy and understanding. Provide constructive criticism with kindness, focusing on solutions rather than blame.
Follow up responsibly: Acknowledge receipt of emails, provide updates as needed, and express gratitude for any actions taken. Timely follow-up demonstrates respect for the recipient's time and attention.
Express appreciation: Take the time to show gratitude and appreciation in your communications. Whether it's acknowledging a colleague's contribution or thanking someone for their assistance, be specific and personal in your expressions of thanks. Remember leadership guru Ken Blanchard's advice: "Catch people doing something well" and praise them promptly and specifically.
Here’s Ken’s 5 steps for effective praise:
