PRINCIPAL JOB DUTIES (RESPONSIBILITIES AND TASKS):
I. Partnership mapping and due diligence
• Conduct and consolidation of partners due diligence (PAT)
• Conduct comprehensive partnership mapping, needs assessments to identify capacity-building gaps.
• Creating capacity-building plans for partners
• Collaborate with stakeholders to determine specific requirements.
• Develop and implement capacity-building strategies and plans aligned with organizational goals.
II. Training Program Design and Delivery:
• Design and deliver training programs, workshops, and seminars.
• Create and adapt training materials, including presentations, handouts, and e-learning resources.
• Collaborate with subject matter experts, trainers, and consultants for specialized training needs.
III. Monitoring and Evaluation:
• Monitor and evaluate the effectiveness of capacity-building programs through assessments, surveys, and feedback mechanisms.
• Provide coaching, mentoring, and guidance to individuals and teams to support their professional development.
IV. Stakeholder Collaboration and Resource Development:
• Develop relationships with external training providers, institutions, and experts to leverage additional resources.
• Keep abreast of emerging trends, best practices, and innovations in capacity building and adult learning methodologies.
• Collaborate with internal stakeholders such as HR, program managers, and team leaders to ensure alignment with organizational objectives.
V. Other
• Participate fully in strategic planning for PIN’s programmers, contingency plans and other program planning processes, and ensure that selected partners are involved where appropriate;
• Undertake other related duties as may reasonably be assigned by the line manager in response to the needs of the mission, its programs, and projects;

Working under the guidance of the Partnership Manager and in close collaboration with the Finance Manager (FM), this role is pivotal in managing the financial aspects of partnerships, ensuring compliance with PIN policies, and contributing to the overall success of the PIN's projects. I. Partnership engagement and Documentation:
• Verification of Partners compliance
• Partner due diligence process and Partnership assessment tool (PAT) process for financial and compliance aspects
• Draft the initial versions of partnership or contribution agreements and their financial annexes, and amend them as necessary
• Verify partners' budgets at all stages of the partnership lifecycle.
• Collaborate with program managers to finalize partnership agreements and ensure all necessary annexes are included before starting the approval process in ELO.
II. Financial Reporting and Verification:
• Control the completeness and correctness of financial reports from partners, including numerical verification, application of exchange rates, and eligibility of expenses based on accounting records analysis.

• Review of partners balances and pending instalments or return of funds
• Receive and process corrected and initially missing documentation.

III. Data Management and System Integration:
• Prepare Excel tables for import into accounting system MS NAVISION.
• Scan financial and administrative documentation as requested and deliver the scans through FTP, email, Skype, or flash drive.
• Upload scans of partners’ documents to ELO Enterprise.
IV. Capacity Building and Training:

II. Partner Engagement and Assessment
• Manage the administration of partner assessments (vetting, relevancy, and capacity assessments), including liaising with program and support unit staff and ensuring departmental participation in the re/vetting process with potential and existing partners.
• Ensure performance assessment is conducted and documented for each partner agreement, and use this information to inform decisions for subsequent partner agreements.
• Maintain relevant databases with existing and potential partners.
• Ensure sub-grant agreements are signed on time and shared with relevant departments (Projects, Finance, Operation, etc.).
III. Capacity Building and Coordination
• Ensure partners’ inductions are organized by the Head of Programs (HOP) with different departments/units on programmatic, technical, and compliance aspects. Lead inductions on partnerships sub-grant management, tools, and reporting in collaboration with relevant departments.
• Organize partners’ kick-off meetings, review/lessons learned, and close-out meetings in coordination with PIN departments/units, and follow up on action points from these meetings.
• Coordinate with Projects for the request and review of partners’ proposals, collect feedback from HOP, technical coordinators, Head of Program, Grants, MEAL, and follow up with partners to ensure the inclusion of the feedback into the proposals.
• Ensure capacity development plans are in place for each project and support the development of partners’ capacity building plans.
• Act as the focal point across PIN departments/units to ensure capacity building activities are implemented as planned unless this is a key project objective, in which case the responsibility lies with the HOP.
IV. Program Support in archiving and documentation:
• Coordinate with focal points in each Programme team to archive respective project documentation in a proper manner and according to Distribution Protocols/Archiving Guidelines in NAVI and ELO systems;
• Programs mapping; (GIS): Introduce visibility infographics across all programs as a way of communicating our activities to beneficiaries (support to program departments and link to communications unit);
• Conducting training and meeting with programme and other relevant teams focusing or archiving related issues, such as archiving on ELO, using the Donation Overview template, archiving, and documents preparation to avoid mistakes in future. Regular revision of the existing guidelines;
• Following up with all programs sectors and MEAL team to ensure all the respective project documentation was archived in proper manner and according to Archiving Guidelines in NAVI and ELO systems; in the required folders.
V. Other
• Participate fully in strategic planning for PIN’s programmers, contingency plans and other program planning processes, and ensure that selected partners are involved where appropriate;
• Undertake other related duties as may reasonably be assigned by the line manager in response to the needs of the mission, its programs, and projects;
• Substitute for relevant colleagues (fully or partially) during their absence when assigned to do so by the Line Manager.
• Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.
REQUIREMENTS:
• Bachelor degree in Business administration, Finance, International Relationships or any relevant major.
• 1-3-year experience in Partnerships management, Finance
• Provide relevant feedback to programme planning, contingency plans and strategic plans to ensure that partnership agenda is incorporated.
II. Partner Engagement and Assessment
• Manage the administration of partner assessments (vetting, relevancy, and capacity assessments), including liaising with program and support unit staff and ensuring departmental participation in the re/vetting process with potential and existing partners.
• Ensure performance assessment is conducted and documented for each partner agreement, and use this information to inform decisions for subsequent partner agreements.
• Maintain relevant databases with existing and potential partners.
• Ensure sub-grant agreements are signed on time and shared with relevant departments (Projects, Finance, Operation, etc.).
III. Capacity Building and Coordination
• Ensure partners’ inductions are organized by the Head of Programs (HOP) with different departments/units on programmatic, technical, and compliance aspects. Lead inductions on partnerships sub-grant management, tools, and reporting in collaboration with relevant departments.
• Organize partners’ kick-off meetings, review/lessons learned, and close-out meetings in coordination with PIN departments/units, and follow up on action points from these meetings.
• Coordinate with Projects for the request and review of partners’ proposals, collect feedback from HOP, technical coordinators, Head of Program, Grants, MEAL, and follow up with partners to ensure the inclusion of the feedback into the proposals.
• Ensure capacity development plans are in place for each project and support the development of partners’ capacity building plans.
