“The #professor told me she doesn’t have an available position in a response to my cold email about applying to a #PhD program next year. Should I keep emailing her to ask for updates?”

Several #PhDstudent applicants and #postdocs in my LinkedIn network have reached out to me about this, so I think it’s time to offer some insight.

There’s something about US culture that our prospective international applicants often miss:

We try to say “no” politely, especially the first time.

🛑 How do I know this email was a polite no?
Because (with a few exceptions) it’s way too early for most faculty to know if they’re taking new students starting in Fall 2024! We’re just getting settled into Fall 2023… and most of us have no clue what the next 6-9 months will bring.

This professor was trying to be nice. They were saying: “Thanks for contacting me, but I’m not interested.”

🙄 Unfortunately, we often fail to communicate what we really mean by trying to be polite.

As a potential applicant you want to recognize the polite “no” for two reasons:
⏰ Most important = so you can move on (and not waste your time) recontacting this potential advisor.
⚠️ Less important = so you don’t come across as pushy/aggressive or unaware of US culture… Just in case you apply to a program where this person reads applications, you want to leave a good impression!

Here are some examples of ways that people in the US say “no” to an applicant via email:

🍎 and 🍌 NO: “Thanks for your interest in my group. Unfortunately, your experience seems to be more about apples, and I’m looking for someone who knows about bananas.”

Different flavor 🍭 NO: “You have a great CV and a lot of experience, but I’m looking for someone with a degree in a different field this year.”

💲 Funding NO: “Your background would be a great fit for my group, but I don’t have any funding in that area.”

If you send an email and you’re not sure about the answer, it’s okay to send 1 more email to follow up. But ask a direct question to clarify their response. If they say no, don’t keep going – the answer is no.

Please remember: If you have a dream program and think you’re a great fit, but don’t get a response to a cold email:
APPLY ANYWAY.
Half the students I admit as PhDs I never had contact with prior to their application.

So the whole “you must establish prior contact to get into a PhD program” going around? NOT TRUE. It may help, but it’s not the end-all-be-all of grad applications!

🛑چندتا سوال مهم: (#مکاتبه #قسمت_اول)

🔺کی ایمیل بزنیم؟

☑️ برای آمریکا و کانادا، برای ترم فال، آخر اگست اوایل سپتامبر شروع کنین. قبلش خوبه که یک اکسل درست کنین، لیست دانشگاه ها و اساتید رو دربیارین و اماده داشته باشین که سرعت کارتون بالا بره.

🔺تافل جی ارای ندادم، ایمیل ندم؟

☑️شما باید مکاتبه رو اخر اگست اوایل سپتامبر شروع کنین. پس بهتره آزمون ها رو تا اون موقع داده باشین. اگه ندادین و میخواین دیرتر بدید هیچ سدی سر راه شما برای ایمیل زدن نیست چون در غیراین صورت زمان رو ازدست میدید.
ولی درنظر هم بگیرین پروسه مکاتبه به شدت وقتگیره، استرس داره( دروغ چرا)، و شاید همزمان شدنش با آزمون های زبان اذیتتون کنه.

🔺استادا جواب نمیدن( مخصوصا کانادا) چیکار کنم؟

☑️ناامید نشید. ادامه بدید حتی تا بعد از ددلاین هم فرصت دارین.

🔺چه روزهایی ایمیل بزنم؟

☑️بهتره بگیم چه روزهایی ایمیل نزنین. روزهای تعطیل و تعطیلات رسمی ایمیل نزنین. معمولا چک نمیکنن و ایمیلتون میمونه زیر دست و پا🤓
بقیه روزها فرق نمیکنه.( اینکه یه عده ای میگن جمعه، برای مثال،نزنین هم طبق تجربه ما درست نیست. شانسه، و در هر روز هفته که تعطیل نباشه شما میتونین کارتون رو انجام بدید.)

🔺چه ساعتی باشه خوبه؟

☑️بین ساعت هشت تا ده صبح به وقت محلی دانشگاه مورد نظر(ترجیحا هشت، هرچقدر اول وقت باشه شانس دیده شدن بالاتره)

🔺از روی چه لیستی ایمیل بزنیم یا به عبارتی دانشگاههایی که رشته ما رو دارن رو از کجا میشه پیدا کرد؟

☑️بحث این سوال مفصله، شاید بعداً براش یک ویس جدا گذاشتیم، ولی برای شروع لیست وزارت علوم، لیست رنک های QS, US News, و غیره هست.

📝در #ریکامندیشن ( این عذاب الهی) چه مواردی خوبه که گفته بشه؟ یا #ساختار_ریکامندیشن باید چطوری باشه؟

🛑هر نامه ریکامندیشن سه قسمت داره:

1⃣قسمت اول یا Introduction:

اساتید باید خودشون رو معرفی کنن و بگن شما رو از کجا میشناسن. معمولا توی فرم های انلاین این قسمت با این سوال ارتباط داره:
In what capacity do you know the applicant?
خوبه که اینجا بگن که چون شما دانشجوی خوبی بودین ( که در ادامه توضیح دادیم) دارن این ریکام رو برای شما مینویسن.

2⃣قسمت دوم یا Content:

توصیح دقیق کار و پروژه شما در این قسمت بسیار بسیار مهمه. روند مقاله ای که برای مثال با هم دادین، نقش شما در مقاله یا پروژه کلاسی، توضیح فعالیت های ریسرچ شما، و توضیح ویژگی های شخصیتی شما ( روحیه کار گروهی، پتانسیل کار فردی و ...) از موارد مهم این بخش هست.

3⃣قسمت سوم و پایانی یا Closing:

نتیجه گیری اینکه چرا شما با توجه به توضیحات بخش قبلی میتونید یک اپلیکنت قوی برای پروگرمی که اپلای میکنید باشید.

🛑در پایان هم امضا، سمت استاد، شماره تلفن دفتر استاد، آدرس ایمیل دانشگاهی و اسم دپارتمان و دانشگاه باید گفته بشه.

⭕️ دقت کنین که این مدرک هرچقدر دقیق تر باشه و به عبارتی تمپلیت نباشه بهتر و قوی تره و شانس شما رو در پروسه اپلای بالا میبره.

⭕️پس با توجه به این نکته، موارد زیر رو حتی المقدور از اساتیدتون درخواست کنید که وارد کنند: (اگرم خودتون مینویسین که حواستون باشه)

1⃣ تاریخ، نام درس، نام پروژه

2⃣ توضیح دقیق نقش شما در پروژه یا مقاله ( روی چه مواردی کار کردید، پیشنهاد پروپروزال دادین)، مواردی که شما در SOP یا رزومه بهش پرداختید.

3⃣ اشاره به روحیات شما در انجام کارهای فردی و گروهی

4⃣ اگر ریکام از طرف استادی هست که صرفا باهاش درسی رو پاس کردید اشاره به نمره شما و یا پروژه کلاسی شما میتونه حائزاهمیت باشه.

⚠️ سوال مهم اول:

⭕️نامه باید در سربرگ دانشگاه باشه؟

✳️معمولا لینک برای اساتید ایمیل میشه ولی بهتره یک نسخه برای خودتون در سربرگ دانشگاه با امضای اساتید به صورت اسکن شده داشته باشید. چرا؟
بعضی وقتا اساتید ایمیل دانشگاهی ندارن و از جی میل استفاده میکنن. اینجور وقتا برای اینکه نقش اون ادرس ایمیل رو کمرنگ کنیم داشتن سربرگ و مهر و امضا در نامه میتونه سندیت اون رو تایید کنه.

⚠️ سوال مهم دوم:

⭕️ریکام حتما باید آکادمیک باشه؟

✳️این رو در قسمت مدارک مورد نیاز توضیح میدن اکثر دانشگاه ها، ولی به صورت کلی نه، ریکام از طرف شرکتی که باهاش کار میکنین با رعایت همه نکات فوق بسیار می‌تونه موثر باشه.

Looking for two #postdoctoral researchers for the areas of Transportation Engineering for Connected and Autonomous Vehicles research at the Department of Civil Engineering at the University of Calgary (#UCalgary).

Appointees will be involved in research efforts in one or more of the following: network analysis and modelling, macroscopic fundamental diagram, systems optimization, and freeway management. Candidates with a background in multidisciplinary perspectives on emerging technologies (such as autonomy, connectivity, electrification, and shared mobility) will be ideal.

✳ ددلاین های #استرالیا نزدیکه، و معمولا در پروسه #مکاتبه اساتید ممکنه از شما #پروپوزال بخوان.
دوتا متن ایمیلی که میبینید از اساتید دانشگاه ملبورن و تورنتو هستن که به من کمک کردن پروپوزالم رو بنویسم.

❇ قبل از خوندن این موارد، اگر احیانا استادی از شما پروپوزال خواست این موارد رو رعایت کنید:

1- اگر استاد به شما موضوعی پیشنهاد نداده، هیچوقت ازاساتید نپرسید که چه موضوعی رو پیشنهاد میکنن ( شما به عنوان یک دانشجوی تحصیلات تکمیلی باید به موضوع ریسرچ استاد و کاری که خودتون علاقمند هستید مسلط باشید و بتونید پیشنهادهای خودتون رو داشته باشید)

2- توییتر اساتید رو دنبال کنید، با اینکار یک فرصت طلایی دارین که متوجه بشید اون استاد درگیر چه پروژه ای هست. با این روش میتونید موضوع پروپوزال رو دقیق تر انتخاب کنید.

🛑متن ایمیل یکی از اساتید دانشگاه ملبورن در مورد نوشتن #پروپوزال:

Your thesis proposal should include the following:

1⃣Clear research question (what do you want to investigate)

2⃣Methodology (how are you going to carry on your investigation; what methods will you use, etc)

3⃣Describe the reason why do you want to investigate this particular topic, and what do you think will be your contribution to the knowledge)
It is always good to include literature review, in order to demonstrate that you are already familiar with at least some of the material that has been written on the subject, and you have identified the gap, which you want to address)


🛑متن ایمیل یکی ازاساتید دانشگاه تورنتو در این مورد:

🔴a.Introduction containing motivation and importance of your work leading to the brief description of your research topic. (1/3 page)

🔴b. Setting up the research area within a current debate in the literature and policy/practice world. And make sure to make a few citations to both foundational work and recent papers that support your arguments. The reviewers should come away with an impression that you are READY to do this (ie you have read, and have research skills), and they should have an idea about what your theoretical perspectives will be. (1/2 page)

🔴c. A detailed description of your research project: data, study area, models, how will the models answer your questions, etc (3/4 page)

🔴d. Some statements regarding your expertise and how that fits with the support you’ll get from me as a member of my lab and at UofT more generally. This is where you should point out the most excellent aspects of your CV and track record drawing attention to your publications in top international journals, the questions and data you worked on, the advanced methods that show that you are prepared to undertake doctoral work, etc. (1/3 page)

✳ برای نوشتن #SOP هزاران فایل و مطلب دیدین و خواهید دید،
من در مسیر اپلای متوجه شدم که بچه ها این فایل رو با خیلی مدارک دیگه مشابه اشتباه میگیرن و همین شانس رو خیلی تحت تاثیر قرارمیده. خوبه قبل از نوشتنش به چند نکته توجه کنین و من در ادامه توضیح استاد دانشگاه USC رو براتون میذارم.

1- سایت دانشگاه ها معمولا کامل توصیح دادن که #SOP شما چه شرایطی باید داشته باشه.محدودیت لغت داره یا نداره و دقیقا به چه سوالاتی باید پاسخ بدین.

2- اگه نداشت چی؟
پروگرم شما یک Coordinator داره که مسئول اینکاراست. بهش ایمیل میزنین و از شرایط نوشتن مطمئن میشین.

3- از دوران کودکی و تحصیلات راهنمایی لطفا ننویسین. مسیر ریسرچ شما قابل اهمیته و اینکه مهم هست توضیح بدید چرا فکر میکنین برای مقطعی که اپلای میکنین کوالیفاید هستین.

Below is the standard advice I like to give to prospective applicants:

The personal essay is one of the most important parts of the application. As most applicants have strong grades and test scores, this is where you can distinguish yourself. A strong application tells us the possible dissertation question you would like to pursue and how it fits well with what we can offer. The question should be fairly specific about what is the puzzle and where in the world you would ask this question. Of course, your research question will change but it is a good way for us to see how you think, the literature that you know and how well you know it, and whether we might be able to assist you.



I also like to advise pre-doctoral students that the Ph.D. program is completely different from masters programs. You take less classes and work more closely with your advisor and committee on learning how to research. Therefore, rather than looking at the school in general, the fit with particular faculty and their research agendas and methods is more important. The more closely they match the expertise that you would like to develop, the more they will be able to help you in the program as well as in developing networks and employment opportunities after graduation.
